ABOUT US
Owkin is an AI company on a mission to solve the complexity of biology. It is building the first Biology Super Intelligence (BASI) by combining powerful biological large language models, multimodal patient data, and agentic software. At the heart of this system is Owkin K, an AI copilot and its new LLM fine-tuned on biology called Owkin Zero, used by researchers, clinicians, and drug developers to better understand biology, validate scientific hypotheses, and deliver better diagnostics and therapies faster.

ABOUT THE ROLE:
As a Workplace & People Experience Apprentice, you will play a key role in creating a positive, engaging, and efficient workplace environment. You will contribute to enhancing the overall employee experience while supporting ongoing efforts to simplify processes, improve automation, and deploy digital tools.
This apprenticeship is ideal for someone proactive, organized, and eager to make a meaningful impact on employee experience in a fast-paced, international environment. You will report jointly to the Senior Office Manager and the Senior People Ops Manager.
IN PARTICULAR, YOU WILL:
WORKPLACE, OFFICE & INTERNAL EVENTS (60%)
- Ensure the office is well-organized, welcoming, and fully stocked (supplies, food & beverages, shared spaces).
- Manage recurring office orders and monitor inventory levels to ensure continuity.
- Support onboarding/offboarding logistics (welcome kits, shipments, coordination with IT etc).
- Coordinate onboarding sessions and in-person new joiner training in Paris.
- Organize and support internal events (breakfasts, workshops, afterworks, hackathons, celebrations).
- Coordinate event logistics (catering, room setup, materials, communications) and ensure smooth execution.
- Maintain event calendars, support invitations and internal communications, and collect feedback and data.
- Assist in keeping workplace documentation and Notion content up to date across teams.
- Support reception activities and ad hoc office requests when needed.
- Contribute ideas and materials ( Google Slides, AI tools) to enhance employee experience and internal engagement.
PEOPLE OPERATIONS (20%)
- Support HR administrative tasks such as employment certificates, HR letters, and policy documentation.
- Coordinate some processes with HRBPs.
- Maintain HR data and key metrics for interns and apprentices.
- Support cross-functional HR initiatives and internal reporting related to employee experience.
Talent Support (20%)
- Schedule and coordinate interviews, assessments, and internal/external meetings for the Talent team.
- Ensure a smooth and high-quality candidate experience throughout the recruitment process.
- Support the execution of recruitment initiatives, policies, and events.
- Participate in university and campus recruitment events and employer branding activities.
